What it means

A white paper is an expert document that examines a problem and its solution in depth, such as the impact of new legislation, a technology or an industry trend. Unlike advertising it is educational, relies on facts, data and professional arguments, and builds the author's authority.

Originally the term referred to official government documents; today it is used mainly in B2B marketing. A white paper is usually longer than a blog post, with a clear structure, charts and a summary, and its aim is to help readers understand the topic and make decisions.

In content marketing, a white paper is often offered as a download in exchange for contact details, in other words as a lead magnet. Anyone who downloads it shows interest in the topic and is therefore a good-quality prospect for the company.

How it works in practice

For an accounting or advisory firm, a white paper might be a practical guide to a new e-invoicing obligation, an overview of tax changes or a comparison of legal forms for doing business. What matters is that the content addresses a real problem of the target audience.

A white paper pairs well with case studies that show the solution in a concrete example. In account-based marketing it can be tailored to a specific industry or even a specific key account.

Contacts obtained through white paper downloads are usually scored and nurtured until they are ready for a sales conversation. The distinction between MQLs and SQLs helps determine when a contact should be handed to sales and when more content is still needed.

What to watch out for

A white paper that is really disguised advertising damages the company's credibility. Readers expect objective information and practical value, so the product or service should be mentioned only briefly and naturally, for example at the end.

When collecting contacts through a download form, the GDPR must be followed, the use of the data stated clearly and the necessary consent obtained for marketing communication. On professional topics the document should be updated regularly so that it does not contain outdated information.
