Offboarding

A managed exit from an engagement or job — handing over data, revoking access and closing the agenda.

What it means

Offboarding is the orderly end of a relationship - with an employee, a client or a supplier. It covers handing over work and documents, removing access, returning property and settling mutual obligations.

It mirrors onboarding and matters just as much. Departures are where loose ends accumulate: accounts nobody disabled, files left in a personal cloud, work in progress with no owner.

Offboarding is not the same as the termination of employment. Termination is a legal moment fixed by notice or agreement; offboarding is a process that starts weeks before it and ends after it, once knowledge, documents and unfinished tasks have been handed over. Employment can end correctly with poor offboarding, and the other way round.

How it works in practice

For an employee it means deregistering with the insurers on time, a final pay run settling holiday entitlement, an employment certificate, and returning company property against a handover sheet.

When an accounting engagement ends, a handover should follow: accounting data in a readable format, the documents, agreed balances as at the handover date, and a list of open items.

When an engagement with a client ends, we agree a cut-off date in writing: who files the VAT return for the last period, who prepares the financial statements, and who answers any tax office query about the period we processed. At the same time we revoke our powers of attorney with the authorities, so that correspondence goes to whoever actually keeps the books.

What to watch out for

Access left in place is the commonest security gap - so revoking access happens on the last day, not afterwards. And the leaver’s data is processed further only to the extent GDPR and retention periods allow.

When a director or bookkeeper leaves, bank signing rights, access to the official electronic mailbox and signing certificates often stay in their name. If nobody else has access, letters from the authorities are deemed delivered unread and response deadlines run while no one in the company knows about them.
