What it means

ISO 9001 is the most widespread international standard for a quality management system. It sets out how a company should manage its processes so that it consistently meets customer and regulatory requirements and keeps improving. It applies to manufacturers and service firms alike, including accounting and IT.

The standard rests on a few principles: customer focus, a process approach, evidence-based decisions and the PDCA cycle of continual improvement. The company describes its key processes, often as a process map, assigns responsibilities, measures results and deals with nonconformities.

An independent certification body issues the certificate after an audit; it is valid for several years with regular surveillance audits. The standard is often combined with ISO 27001 or environmental standards into one integrated system.

How it works in practice

ISO 9001 certification is often a condition in tenders and for supplying industry, especially automotive. Customers check it during a supplier audit, and without it a company often does not even make the shortlist.

The main benefit of implementation is not the certificate but order in the processes. Documented procedures and standard operating procedures reduce errors, make it easier to train new people and make the company less dependent on individuals.

Advice, audit and certification costs are deductible. In grant calls aimed at competitiveness, introducing a quality system is often an eligible cost, which is worth checking before the project starts.

What to watch out for

The most common mistake is a system that exists only for the audit. Documents are written before certification and never updated. The surveillance audit often exposes this, and above all the company gets no benefit from the standard, only costs.

The second risk is excessive bureaucracy. The standard does not require hundreds of pages of procedures. A small company can have a simple system of a few pages and checklists, provided it works and it can be shown to be followed.
