ERP

A system tying accounting, inventory, production and HR together on a single data foundation.

What it means

An ERP joins the company’s main functions over a single database: purchasing, stock, production, sales, accounting and payroll. A document entered once appears everywhere it matters - which is why stock, billing and the ledger cannot drift apart.

That is precisely what separates it from a set of separate programs, where data has to be moved by integration and systems disagreeing is the normal state rather than an exception.

An ERP is not just an accounting program with extra modules. What matters is that operational events - a goods receipt, a stock issue, a production order - create the ledger entries themselves. Standalone accounting software, by contrast, waits for someone to enter or import each document and knows about the warehouse only what it is told.

How it works in practice

Introducing an ERP is a process change project, not an installation. It starts with a process map and decisions about how events will be booked, continues with migrating balances as of an exact date, and ends with training people.

For a smaller company it is usually cheaper to connect the ledger, the CRM and the webshop through an API than to deploy an ERP. The line moves when the same data is entered several times and nobody knows which system is right.

At year end an ERP shortens the work considerably if the links are set up well: the stock count is compared directly with the system balance and differences are resolved in one place. With such a client we therefore check the posting templates most closely, because an error in one template repeats across thousands of documents.

What to watch out for

The costly failures are organisational: undefined data ownership, bending the system to old habits instead of simplifying the process, and migrating open items without an agreed sub-ledger.

Automatic posting from an ERP hides errors that manual entry would have caught. A wrong exchange rate, VAT rate or account in a template shows up only in the trial balance or during an inspection, and fixing it then means going back through months of documents and correcting returns already filed.
